This Privacy Policy explains how Canyas LLC (“we”, “us”) collects, uses and shares information when you use the MyLog mobile app and this website (together, the “Service”). If you have questions, contact us at support@dodelka.com.

1. Who is responsible for your data

Canyas LLC, a limited liability company registered in Wyoming, is the controller of personal data processed through the Service.

2. Information we collect

Transcripts	The text version of your recordings.	To create the job record and so you can review what was said.
Work records	Customer company names, site names and cities, machine brand, model and serial number, problem and solution descriptions, notes, quote status and amounts, invoice status.	To provide the core job tracking, search and summary features.
Technical data	Basic device and app information and error logs [if you add crash reporting or analytics, name the tool here].	To keep the Service working and fix problems.

The work records you enter may include names of your customers or their staff. Please only enter information you are allowed to record, and avoid entering sensitive personal data in notes.

We do not collect your location, contacts, or advertising identifiers, and we do not show ads.

3. How AI is used

When you record a job, your audio is transcribed into text and the transcript is processed by an AI model, which identifies the customer, site and machine, looks them up in your own records, and drafts a job entry. The AI only prepares a draft: nothing is saved until you confirm it. AI output can be wrong, so please review drafts before saving.

Search features may also send your question and relevant records from your account to the AI model to find matching past jobs.

4. Who we share data with

We do not sell your personal data or share it for advertising. We share data only with service providers that process it on our behalf:

Supabase – database, authentication and hosting. Data is stored in the EU (Frankfurt, Germany).
[AI PROVIDER, e.g. Anthropic (Claude) or Google (Gemini API, paid tier)] – AI processing of transcripts and search queries to draft and find job records.
[TRANSCRIPTION PROVIDER] – speech-to-text transcription of voice recordings.

We use these providers under terms that do not allow them to use your data to train their models. [Confirm this for the paid plans you choose before launch.] We may also disclose information if required by law.

5. International transfers

Your data is stored in the EU. Some service providers may process data in other countries, such as the United States. Where this happens, we rely on appropriate safeguards such as the European Commission’s Standard Contractual Clauses.

6. Legal bases (EEA and UK users)

We process your data to perform our contract with you (providing the Service), based on our legitimate interests (keeping the Service secure and working), and to comply with legal obligations.

7. How long we keep data

We keep your account and work records for as long as your account is active. When you delete your account, we delete your data within 30 days, except where we must keep it longer by law. Backups are overwritten within 30 days.

8. Security

Data is encrypted in transit. Access to each user’s records is restricted at the database level so you can only see your own data. API keys are kept on our servers, not in the app. No system is perfectly secure, but we work to protect your information.

9. Your rights and choices

You can access, correct, export and delete your data. Depending on where you live (for example under the GDPR, UK GDPR or California law), you may also have the right to object to or restrict processing and to lodge a complaint with your data protection authority. You can deny microphone access in your device settings at any time. Voice logging will not work, but you can still view your records [and enter jobs by text, if supported].

10. Children

The Service is a professional tool and is not intended for anyone under 16. We do not knowingly collect data from children.

11. Changes to this policy

We may update this policy from time to time. We will post the new version on this page and update the effective date, and we will notify you in the app of significant changes.
